REFUND POLICY
OAKVILLE MINOR LACROSSE ASSOCIATION

GENERAL

This policy is to be referenced in all cases where a player wishes to be refunded their registration fees from the Oakville Minor Lacrosse Association (the Organization).

1.     The principle behind our refund policy is to allow a reasonable amount of time following registration for players to withdraw, while safeguarding the financial stability of the organization.

2.     The Organization commits to program expenditure based on registrations and these expenses are not recoverable to the program if / when a member withdraws.

3.     All refund requests must be made in writing  to the Organization at the form provided, by the individual who paid the fee. Any applicable refunds will be processed either by cheque or returned via credit card at the discretion of the Organization. Please allow 2-4 weeks for refunds to be processed.

4.     The final amount of any refund in special or extenuating circumstances at the discretion of the Executive.

REP PROGRAMS – GIRLS FIELD, BOX AND BOYS FIELD

1.     All rep tryout fees are non-refundable. Certain fees are automatically deducted by third parties including the Ontario Lacrosse Association insurance and governing body fees, registration system and credit card processing.  These fees are not recoverable by the Organization

2.     Once a player is placed on a rep team, assessment fee installments are payable.  Should a request for withdrawal from the team due to exceptional circumstances be made after the player is placed on a team but before programming begins (ie.. rep practices) a fee of $150 shall be withheld on any refunds.  This fee covers costs associated with administrative and uniform costs.  Please note no refunds will be provided, and the player shall be responsible for their full portion of the full assessed amount of the rep team programming costs where a player or parent disagrees and refuses to play based on the player’s coach, team, or tier placement.

3.     Any player that commences practices with a rep team shall be responsible for their portion of the full assessed amount of the rep team programming cost.

4.     No refunds will be provided if a player is suspended or expelled under the OMLA, OLA, OMFLL or OWFL discipline policy or code of conduct rules.

5.     If a player must withdraw for medical reasons after the start of programming a doctor’s note is required to support the medical reason. The administrative fee of $150 shall be withheld plus a prorated amount for any portion of the season attended.

HOUSE LEAGUE PROGRAMS

1.     Upon registration certain fees are automatically deducted by third parties including the Ontario Lacrosse Association insurance and governing body fees, registration system and credit card processing fees.  These fees are not recoverable by the Organization and as a result all requests for refunds made at any time shall be subject to a $40 administration fee.

2.     Should a request for a refund be made within 2 weeks of the start date of the programming an additional uniform fee shall be withheld in the amount of $55. Refunds shall not be granted after programming begins.

3.     If the Organization is unable to run a program due to insufficient players a full refund will be provided, and no administration fee shall be withheld in this case.

4.     No refunds will be provided if a player is suspended or expelled under the OMLA, OLA, OMFLL or OWFL discipline policy or code of conduct rules.

5.     If a player must withdraw for medical reasons after the start of programming a doctor’s note is required to support the medical reason. The administrative fee of $40 plus uniform fee of $55 shall be withheld plus a prorated amount for any sessions attended.
